Once your report has been created, and you are satisfied with the Global, Date and Location settings, you will need to adjust the data displayed in rows and columns.
Simply use the plus icon to open a setting for either!
Each row or column you add will have two steps of creation.
The first step is editing the details of the Display, and there are a maximum of three possible selections that will be displayed on the dropdown.
Step 1
The data selector is set to the Evaluation Info.
Label & Column Settings sections allows you to either display the default label, or customize the label text.
Survey Data section has three options to choose from: Evaluation Score, Sectional Scores and Evaluation Count.
The Sectional Scores dropdown will display sections that have the scoring, whilst allowing you to use the Use Short Section Names if you have selected to go with the Default Label text!
Location/Level Data options will be adjusted to display the Locations/Levels according to the labels you set up on the Client Settings page, which will also be reflected in the Managers dropdown.
In the Location Details dropdown you can select which detail of a location will be displayed, while the Groups/Unlimited Location Groups will offer any ULGs you have set up in the ULG administration page as well.
The Question Data section offers two options.
You can either select Questions by Type, which will open a new set of sub-options, displaying only the question types that are present in the Question List of your survey.
If you use the Select button, the system will check all the question types that match the type, and you can easily check which questions fall under that category as they are marked with a red check mark.
For an example, using the Select button in the Multiple Choice column, will mark Y-N & Y-N-N/A, Pull Down Menu, Radio Button, Checkbox and Multi-Checkbox question types (as only those question types in your survey have multiple answer options). It will not mark Picture Upload question type, because the Picture Upload question type has 'only one answer option'.
To clear the selection, simply use the Clear button on the top left.
Alongside selecting questions by their type, you can individually mark the question types by checking the box next to the question type label.
Additionally, the dropdown at the bottom of the selector allows you to edit the visibility of the questions!
The data selector is set to Location Info.
The Label & Column Settings in this version only allows the default label to be displayed.
Select which Locations/Levels to Show section has a few sub-options for you to choose from.
The first three checkboxes can be combined with the bottom few, allowing you to decide will the user seeing the report see only Levels they are permitted to view or all of them. Additionally, you can decide to display levels which are above the user's level.
The Custom Levels setting ensures you can display only the hierarchical levels you want the user to see. The dropdowns will list the subdivisions you have set up for each level.
Please keep in mind, this setting will override the location setting from the Location Menu Options!
If you have Groups, or ULGs, set up for the Client, you can decide which subsections of the desired section will be used for the report.
Additionally, next to limiting the user's level, you can also limit the report by displaying Only Evaluations User is Permitted to View.
The last option in this section is a visual one, and is not usable if you are displaying Groups/ULGs! You can only select the Flat suboption if All Levels are marked in the Location/Level selector - otherwise it will automatically be set to Nested to improve the visibility.
Step 2
If the data selector type in step one is set to Evaluation info.
The Label & Column Settings display the previously selected Survey Data type, and any customizations done to the text of the label.
The second option allows you to select the format of the numeric data.
The Formatting suboptions for Header and Body will be displayed only if the Use custom style checkmark for each is ticked.
The Heat Mapping option ensures you can add quite a bit of colour to your report. Simply put in the numerical values you want to map, and either select a colour from the dropdown, or use a hex code.
The data selector type in step one is set to Location Info.
As mentioned, clicking on the E icon will open a table of hex codes, allowing ease of use.
Keep in mind!
If the selector in step one is set as Evaluation info, columns will always be able to display only that data type.
On the other hand, rows will only be able to select the Location Info (and Row separator).
